Meeting and Conference Management

Arranging and negotiating facilities and housing

Current staff manage more than thirty conferences and courses for client organizations, ranging in size from 22 to 3,000 attendees. AMG negotiates with properties on behalf of client organizations to obtain discounted group room rates for all attendees and VIPs. Commissions that are negotiated are applied to the clients’ master bills and not kept by AMG.

Development of meeting budgets

Associated with AMG’s management of client conferences is the development of budgets and tracking of all revenues/expenses for financial reporting to the clients’ Board.

Onsite meeting management

AMG staff handle all on-site meeting management functions, including registration, room/speaker arrangements, A/V, food and beverage requirements as well as any special requests of the client.

Meeting badges/signage and traffic management

AMG staff provide computer-generated badges and all session/reception signage, as well as on-site management of attendee traffic routing.

Exhibit management

Conferences by AMG clients have vendor exhibitions of sizes up to 220 exhibitors. AMG staff routinely provides complete exhibit management functions for these exhibitions.

Exhibit marketing

AMG manages the exhibit sales function, including design of brochures, mass mailings, telemarketing, etc. to support our clients’ exhibitions.
